Booking Fees, Invoices & Payment

Updated October 14, 2026. These are draft public policies pending legal-supplier information and jurisdiction-specific review.

Our intended booking fee is CAD $25 per appointment, credited to the accepted job price—not a surcharge. Before paying, check Calendly's actual amount because its event payment settings are still being verified. If the amount differs, do not pay; contact us.

Transparent starting prices

What happens after booking?

Calendly and Stripe provide appointment/payment records. We confirm the selected services, location, price and scope in writing. The remaining balance is due only when the agreed delivery/completion milestone has occurred and an itemized final invoice is issued (normally payable within 5 calendar days). The invoice credits the actual deposit previously received and reconciles any applicable tax to avoid double charging.

Will my card be charged later?

Not just because you booked. The default is a secure pay-by-link invoice. Any future saved-card charge must be separately authorized for the specific job under a clearly documented amount/maximum, completion trigger and notice procedure, and must be implemented through Stripe's supported method with customer consent. The optional automatic-charge system must be separately activated and verified after legal and tax review; it is not active on existing bookings. We never assume a booking deposit authorizes later off-session use. A customer may choose a regular pay-by-link invoice instead.

Late payments and reminders

Stripe may automatically email reminders for an unpaid one-time invoice after the stated due date. A reminder is not a new fee or additional charge. Late fees, collection costs or interest are not imposed unless expressly agreed in a lawful contract. We will not send duplicate invoices or automatic card charges for a disputed or cancelled job.

When a card may be saved for one specific balance

Only customers who choose the separate opt-in receive a time-limited Stripe card authorization link. It states a booking reference, maximum authorized amount, specific completion trigger and notice period. We document their acceptance, Stripe verifies the saved payment method, we issue an advance itemized notice at least 48 hours before collection, and we suspend attempted card collection if the service is cancelled, incomplete or genuinely disputed. A saved card is not a subscription. Cardholder bank authentication or card failure may require the customer to pay the secure invoice manually.

Unexpected deposits or billing concerns

Do not pay twice. If the displayed booking amount differs from your quote or $25 intended booking fee, stop and contact zachsupwork@gmail.com. If a final invoice is disputed in good faith over work quality or completion, we will review the affected balance before attempting any authorized automatic charge. Undisputed invoices remain due under agreed terms.

Taxes and legally required information

The legal invoice identifies the actual seller and any legally required tax numbers. Tax collection depends on the legal seller's registration and place-of-supply rules; a Stripe Tax setting alone is not proof that registration exists.

Recurring services

Maps visual maintenance, premium support and NFC/QR care are wholly optional. Each recurring plan requires a separate Stripe checkout or written agreement clearly identifying its price, recurring nature and cancellation method. A photography or tour booking alone never subscribes you.
