Booking and Service Terms
Version: October 14, 2026 · Ottawa–Gatineau · Subject to legal review before accepting customers.
1. What we provide
Services may include on-site capture of actual exterior/interior 360° spherical panoramas, editing and linking suitable views using available third-party publication tools, and genuine signature food, product, property or business photography. A tour is not a Matterport dollhouse, and publication to Google Street View, navigation links, search placement and hosting remain subject to third-party eligibility and policies. A booking includes only the deliverables expressly recorded in the written job confirmation.
2. Prices, deposits and taxes
Advertised starting prices: 5-view tour CAD $250, 10-view tour CAD $400, signature photography from CAD $100. All exclude applicable taxes and approved additional services. We intend a CAD $25 booking deposit for each service, credited dollar-for-dollar toward the agreed total; it is not an additional fee. The checkout amount must be checked before paying because third-party event payment settings may differ until configuration is verified. If it differs, do not proceed; contact us. A deposit receipt will show what was actually paid. A quote or confirmation will separately identify the service total, taxes if applicable, deposit credit and remaining balance. We never ask for a second deposit for the same booking.
3. Appointment and service confirmation
Written order summary: Before a binding paid appointment, the customer should receive or be able to retain a quote/order summary identifying the legal supplier, service location, actual service deliverables, price, taxes (where applicable), the full expected payment schedule, cancellation rights and third-party publication limitations. Any material discrepancy is resolved in writing before payment. Customer signatures or an affirmative electronic acceptance may be used. A website checkbox is not an authorization for future card charges.
Capture limitations: Customer must disclose equipment hazards, permissions and sensitive/secured areas in advance. We may postpone unsafe filming; any resulting charge is subject to actual reasonable cost, the accepted quote and applicable law. We do not intentionally film minors, security credentials, confidential documents or restricted/private areas without necessary authorization.
An appointment time is subject to availability, access permissions, accurate location and a suitable site. The customer must be authorized to order the work, provide safe and lawful access, provide the correct address and contact details, and identify restricted areas or people who must not be filmed. We may refuse unsafe, inaccessible or unlawful work and will communicate appropriate next steps or refunds as required by law.
4. Payment of balance
Billing sequence: A booking deposit receipt confirms what was actually charged. The written quote includes the service price and scope; a completion/delivery notice confirms the work milestone; an itemized final invoice follows. We do not represent a booking confirmation alone as an invoice for the full service. If agreed work is completed in stages, only expressly accepted, itemized milestones are invoiced.
Optional saved-card arrangement: Separate from paying the booking deposit, an authorized business customer may elect a clear, standalone saved-card payment arrangement. The signed authorization must specify the covered job, amount or ascertainable maximum, triggering completion milestone, notice period, right to revoke before processing and how to raise billing concerns. Payment must be set up using Stripe's supported card-saving flow. If authorized, we intend to send the itemized balance and at least 48 hours' notice before collection; a cancellation, material deficiency or good-faith dispute puts the affected balance on hold for review. An authorization does not override card-network rules, contractual remedies or mandatory consumer rights. No such automatic system is currently operating.
Collection practices: We may send courteous reminders of an overdue undisputed balance and use available lawful remedies where appropriate. We do not add undisclosed collection, interest, chargeback or administrative penalties; an unsuccessful automatic attempt is not authority to continue retrying without safeguards.
After the agreed on-site work and deliverables have been completed or delivered, we issue an itemized final invoice reflecting the original price, approved changes, taxes and actual deposit credit. Unless the accepted quote specifies another date, the undisputed balance is payable within 5 calendar days of invoice delivery. The invoice includes a secure payment method. Booking and paying a deposit do not by themselves authorize storage of a card for subsequent off-session charges, or an automatic charge after the booked appointment date. An automatic final charge will only be used if the customer separately and affirmatively signs or accepts a clear card-on-file authorization stating the amount or objectively calculable amount, when it may be charged, cancellation rights and dispute procedure; the payment method must be validly saved through the payment provider. Any material extras require advance written approval.
5. Delays and scope changes
If a customer delays access or supplies are unavailable, we will notify them and offer rescheduling or a revised plan. If new work, viewpoints, travel or third-party services are requested, we will quote the incremental price first. No additional charge is due for unapproved extras. If we cannot perform the agreed services, we will propose a reasonable remedy or refund consistent with applicable law.
6. Cancellation, no-shows and rescheduling
Please request a change at least 48 hours before your visit when possible. We will make reasonable efforts to reschedule at no extra cost for the first timely change. For late cancellation or inability to access the site, we may seek to retain only a clearly disclosed and legally permissible amount for actual committed costs or work performed, with an itemization on request. The $25 deposit is not automatically forfeited in every situation. Unperformed work will not be billed as though completed. Any mandatory cancellation, cooling-off, refund, chargeback or distance-contract rights override this policy.
7. Quality concerns, corrections and approval
Reasonable delivery/revisions: The job confirmation will name deliverables, turnaround estimates and revision limits. For photography, normal colour, crop and exposure adjustments can be included; major restyling or new subjects outside scope require prior approval. For tours, we will provide a reviewable set of viewpoints or supported publication evidence when the scope includes publication. If an objectively deficient deliverable is correctable, we will arrange reasonable corrective work before treating the disputed balance as collectible. No automatic acceptance due solely to silence defeats applicable statutory rights.
We will deliver work consistent with the agreed scope and reasonable professional care. Clients should identify specific concerns promptly, preferably within 7 calendar days after delivery, and supply examples so we can investigate. For an objectively verified failure to meet the written scope, we may provide correction, reshoot, reasonable price adjustment or refund, as legally appropriate. This is not a waiver of legal remedies or a mandatory deadline for statutory claims. Subjective preferences outside the agreed brief may be quoted as revisions. Customers must not be required to accept materially defective or incomplete work merely because a booking date has passed.
8. Third-party platform decisions
Service completion versus publication: A quotation must make clear whether the purchased deliverable is photography files, a hosted interactive tour, a submission attempt, or a successfully viewable third-party listing. We will not invoice for a promised submission as completed if we did not reasonably perform it. Google's algorithms, top photographs, linking to road-level imagery and official immersive view are not under our control.
Google, Apple, delivery platforms and other services control their policies, timelines, main/featured imagery, search rankings, map links and publishing approval. We do not guarantee acceptance, specific placement, traffic, lead volume or financial results. However, failure of a third-party platform to publish is handled according to the agreed scope: if submission is part of the purchased deliverable, we will make reasonable corrective efforts and discuss an appropriate remedy where submission is impossible for reasons within our control.
9. Permissions, content and intellectual property
Client media consent: The customer should separately approve capture in particular areas, people/face handling, commercial use and any actual publishing destination. We do not use customer interior photographs as public portfolio materials without a separate portfolio permission. With legally appropriate notice, marketing portfolio permission can be declined without preventing purchase of ordinary service.
The customer represents they can authorize photos at the premises and permission for people, proprietary materials and restricted areas as appropriate. We will avoid or blur identifiable bystanders when reasonably required. Unless otherwise agreed, on full payment the customer receives a nonexclusive perpetual license to use the delivered final photographs for their business websites, listings and marketing. We retain rights in raw files and editing methods; raw files are not included unless agreed. We will not publish identifiable private customer work as our marketing portfolio without necessary consent.
10. Safety, property and reasonable liability
Each party must act reasonably to prevent loss. We are responsible for loss caused by our negligence or breach to the extent required by law. Neither party is excused from fraud, gross negligence, deliberate misconduct, privacy duties or other non-excludable obligations. To the extent legally permitted, neither party is liable for remote or unforeseeable consequential losses unrelated to the reasonably expected result of the service. Any limitation of liability must be lawful, reasonable and cannot defeat mandatory consumer rights; no automatic blanket cap or blanket exclusion is claimed here.
11. Payment concerns and disputes
Contact zachsupwork@gmail.com with the booking ID and concern. We will review documentation and respond within a reasonable time, normally 5 business days. A good-faith documented dispute about defective or incomplete work will be investigated before any disputed balance is collected off-session. Undisputed amounts remain payable when due. Nothing restricts a customer from contacting their payment provider, regulator or exercising rights under applicable law.
12. Optional subscriptions
Monthly visual maintenance and QR/NFC care are completely optional, not part of a one-time booking and activated only by a separate checkout with clear recurring price, billing frequency, scope and cancellation route. Monthly services do not start merely because a box is checked during appointment booking.
Required legal supplier details and acceptance record
The complete written order and legally compliant invoice must identify the actual individual or legal entity contracting with the customer, the applicable service location, the agreed price and mandatory disclosures. A customer is not required to accept a different legal supplier or material change without lawful notice and agreement. Electronic acceptance should be recorded with the applicable terms version and date; a static web checkbox alone is not the full operational record. The final live booking process must present these terms before payment.
13. Governing law and changes
Local laws prevail: Some statutory duties differ for Ontario consumers, Quebec consumers and business-to-business contracts. Mandatory cancellation, distant-contract disclosures, privacy requirements and Québec French-language obligations are not waived by these terms. Before selling into Québec, we will provide French contractual and public commercial content when legally required. The legal supplier and business registration remain to be confirmed.
The laws applicable to the supplier, customer and service location apply, subject to mandatory Ontario, Quebec, federal and other consumer requirements. Material terms accepted for a booking will not be retroactively changed without agreement. Where legal translation or French-language contracting obligations apply, compliant versions must be made available before contracting. Questions: zachsupwork@gmail.com.
